Customer List Report

The Customer List provides an extract of all customers based on various criteria provided when generating the report. Note that the filters allow a wide range of options. Common use of the customer lists generated is to produce email lists, address lists for mail merges, mobile phone lists for SMS marketing campaigns, among others.

 

Generated data can be exported to Excel, giving you the option to enter it into your own CRM (customer relationship management) database.

 

A report's date range cannot be more than six months. If you need more data, you must run multiple six-month reports. 

 

The option 'Customers on Mailing List' is the default and refers to the Mailing List field on the Reservations page. Customers have the option of not being sent newsletters and marketing material if they opt out of this option.

Generate a Customer List

To open the Customer List page navigate to the Other Reports menu and click the Customer List icon (Reports > Other Reports > Customer List), see Fig. 1.

On the Customer List page (see Fig. 3):

 

A. Select either a location or region. By default the location is set to your default location. If you select a region, Rental Car Manager will disregard the selected location.

 

B. If you have set up brands previously, customers of all your brands will appear in the report, by default. You may select another brand if you wish to only show customers from that brand. If you have not set up brands, you may leave the value as is. The report will then disregard brands when run.

 

C. All vehicle categories are covered under the report by default. Select a specific vehicle category to include only customers who have reserved vehicles from that category in the report.

 

D. By default, the email address is included in the report. You may select address, email or mobile number.


E. By default, customers from all countries are included in the report. You may change this to a specific country.

 

F. By default, the report covers all customers (see Fig. 2). You may change this to include only customers on your mailing list.

G. By default, all sources of booking are included in the report. You may change this to a specific source of booking

 

H. If you have previously set up agencies, customers booked by all of your agencies are included in the report by default. You may change this to a specific agency. If you have not set up agencies previously, Rental Car Manager will disregard this field when it generates the report.


I. Select the ordering method for the Customer List report.


J. Select whether you want to include or exclude the customer's booking details in the Customer List report.

 

K. Select Date Entered, Pickup Date or Dropoff Date.


L. Select a date range to be applied to the generated report.


M. By default, only customers who have hired vehicles are included in the report. You may change this to include only either a) customers who have made reservations but have not hired a vehicle or b) customers who have requested quotations but have not yet hired a vehicle. 

 

N. By default, all reservations, regardless of the number of days, are included in the report. You may limit this to customers who have made reservations for more than a certain number of days.

Click "View" to generate a printer-friendly report (see Fig. 4).

Once you generate the report, you can print it using your internet browser's built in print function.
