GDPR Customer Management

RCM has provided specific functionality to cater for GDPR (General Data Protection Regulation) in the EU. This is an extension of the current Customer Management capability within RCM, and uses the same customer records.

The functionality consists of 2 parts:

1 – GDPR Customers - This provides a listing of all customers stored in the RCM system, shows the general information stored against each, and allows you to specifically remove data for selected customers either individually or en masse. Note that customer records themselves are not physically removed (so no Reservation history is lost), but selected data fields are “cleaned”.


2 – GDPR Log This provides a log of all customer records that have been subject to the GDPR “cleaning” process, which in turn allows you to prove compliance.

Accessing the Report 

1. Open the "Reports" menu. 


2. Click on “Other Reports”.


3. Click on “GDPR Customer Management”. (See Fig. 1)

GDPR Customers

1.  The image below is an example of how to find and clear selected customer data. You have the option to...

A - Enter last name.

B – Select European Countries only.

C- Select a particular country.

D – Identify what customers you wish to see, based on the Bookings before date option.

E – Click “View”. (See Fig. 2)

2. You can then select what customer data you wish to clear. You can either manually select it individually, or select all. Then select “Clean selected Customer data”. (See Fig. 3)

3. Select “Yes” to confirm clean up. (see Fig. 4)

4. Select “Remove Customer Data” if you wish to continue. (see Fig. 5)

The image below is an example of the clean ups of selected customer data. (see Fig. 8)

Note under “MSG”.  A successful clean up in customer data will have the message “Ok”.

Key Information

If the selected customer has a booking with a drop off date in the future, then their data will not be able to be deleted.
