Email Templates

As part of the Azure Migration we have re-organised where you can gain access to all the options to edit the various email templates that are available within RCM. Prior to the Azure migration you were able to access the various email templates from various menu options. We have streamlined this so that all of the email templates are available from the one menu option.

Menu Changes

At the moment you are able to edit the various email templates from the following locations:

  • The Agreement & Other Templates option under the System Setup menu.
  • The Confirmation Template, Invoice Template and Quotation Template options that are also available under the System Setup menu.
  • The Email Templates option that is available under the System Setup Menu.

  • The Emails Set up screen which is available by choosing the System Parameters option on the System Setup menu.

  • The Online Email Template option available under the Web Site Interface menu.

Access to all of these templates can now be found by using the new “Manage System Emails” option found on the System Setup menu, please see the image below.


Manage System Emails Option

Once you have selected the Manage System Emails option you can access all of the various Email Templates. You can see in the image below that they have been broken into the various types of emails. Each of these options are discussed in more detail further down.


Custom Templates

The Custom Templates option replaces the Email Templates that you used to access by choosing the Email Templates option on the System Setup menu. These are the templates that are available when you choose the Email Customer option.

As you can see in the image below you have 2 options, Custom Templates and Settings.


The Custom Templates option gives you access to the screen where you can edit the templates and also set the Email Subject and the sending email address.


The Settings option allows you to setup the options for the customer email. This screen also gives you access to all of the Email Templates by choosing the appropriate one form the “Template to Update” drop-down.


Bookings – Confirmations & Quotations

The Bookings – Confirmation & Quotations option allows you to edit the email templates which used to be available under the Confirmation Template and Quotation Template menu options. The options for the declined or cancelled bookings and quotes are available under the new “Bookings – Decline & Cancel” option described later.


Web/Agent Bookings – Confirmations & Quotations

The Web/Agent Bookings – Confirmations and Quotations option allows you to edit the templates for online confirmations which used to be able using the Online Email Template option under eh Web Site Interface menu.


Bookings – Decline & Cancel

The Bookings – Decline & Cancel Option allows you to access the options that used to be available under the Confirmation Template and Quotation Template menu options, but only the options for a cancelled or declined booking or quote.


Bookings – Email Agreement

The Bookings – Email Agreement option allows you to edit the email template for emailing out an Agreement. This used to be available by navigating to the system setup menu and then choosing the System Parameters option and then clicking on the Emails set up tab.


Emailing Invoices

The Emailing Invoices option allows you to edit the templates that used to be available under the Invoice Template option.


Bookings – All Other Emails

The Bookings – All Other Emails option allows you to edit the templates you used to access by navigating to the system setup menu and then choosing the System Parameters option and then clicking on the Emails set up tab.
